Key Responsibilities:

This team is seeking an Executive Coordinator who is a driven and committed team player to provide continuous, high-quality support for the priorities of members of the Senior Leadership team. This role will report directly to the Sr. Director, Operations & Performance, and will be based out of our New York City office. The successful candidate must be flexible, responsive, confidential and trustworthy, a solid multi-tasker, polished and professional, proactively anticipate departmental needs, and have a passionate dedication to being part of a mission-driven organization.

At this time, this role has a hybrid work schedule; you will be required to work in the Manhattan, NY (Financial District) office 1-3 days per week and will be eligible to work remotely the remaining days of the week. This schedule is subject to change based on statuses of assigned tasks and pre-scheduled in-person meetings requiring support.

Administrative Support: Prepare materials for committees and work groups (i.e., agendas, word documents, power point slides); provide administrative support multiple members of our Senior Leadership team; assist with writing content for communications; manage travel arrangements; and submit (and maintain records of) expense reports and timesheets;

Calendar Management: Manage and maintain high volume calendars for specific Senior Leadership team members while demonstrating time management sensibilities when scheduling and prioritizing commitments; prepare travel itineraries;

Scheduling / Meeting Management: Effectively organize and coordinate high volume virtual and face-to-face meetings (both internal and external); schedule meeting rooms as needed; when necessary, create agendas, take/distribute notes, and follow up on action items accordingly;

Event Coordination (Events & Wellness Committee): Assist with logistical coordination for internal engagement opportunities for small and large groups (virtual and in-person, voluntary and mandatory, and/or on- and off-site);

Office Management: Register visitors into our visitor management system (VMS); Greet and direct visitors; notify respective staff member(s). Procure office supplies and snacks; maintain general office equipment and schedule repairs as necessary; assist with researching innovative solutions to office related concerns; escalate issues accordingly. Manage NYeC’s main phoneline; answer calls in a timely manner, take and forward messages accordingly; Ensure packages and mail are distributed to staff in-office;

HR Assistance: Assist HR team with in-person interview coordination; coordinate new hire training schedule, set up new hire desk; clean out desk after employee departures; generate and distribute shipping labels; other HR related requests as assigned;

Operations:

Own and manage the expense reimbursement workflow and policies, including maintenance of expense reimbursement policies and procedures, the Paycom interface for expenses, and applicable expense reports on a biweekly basis for payroll;

Assist with assigned security certification (HITRUST) reports – evidence, swipe logs, other physical access activities, updates to policies and procedures, and components of the Business Continuity Planning & Disaster Recovery (BCPDR) plan or other plans as requested from Information Security Team;

Collaborate with HR to administer the Staff Development and Tuition Reimbursement workflows, including but not limited to tracking, reports, metrics, and enrollment of staff in such activities;

Assist on other duties / special projects as assigned.

Experience and Skills Required:

High school diploma/GED required. Associate’s degree in business administration or a related field preferred

A minimum of one year work experience in a fast-paced, collaborative and demanding environment;

Ability to successfully prioritize and provide accurate follow up on all issues and correspondence;

Ability to be proactive and take initiative by being a highly-engaged creative thinker and problem solver;

Superb ability in Microsoft Office programs; specifically, Outlook and calendar management within Outlook;

Experience with Teams and Zoom to calendar and host meetings is a plus;

The ability to multi-task, work quickly and accurately, meet deadlines and set priorities;

Occasional travel required (overnight and daily, within NY state and to NYeC offices).

We consider a wide range of factors when determining compensation, which may cause compensation to vary depending on your skills, experience, qualifications, and home office location (Manhattan, NY vs. Albany, NY). The annual base salary range for this NYC-based role is $70,000 to $82,000. The salary offer will not be based on a candidate’s salary history at other jobs, and by law, NYeC will not seek information about salary history, and candidates should not share such information with NYeC.
